Privacy policy.

What we collect, how we use it, who else sees it, how long we keep it, and how to ask for a copy, a correction, or a deletion.

1. Scope

This policy explains how TABLEROCK Cleaning LLC, an Idaho limited liability company (“TABLEROCK,” “we,” or “us”), handles personal information collected through this website, through the client portal, and in the course of the cleaning services arranged through them.

It applies to visitors, customers, owners, landlords, and property managers. Information about our employees and job applicants is handled under our employment policies; the parts of this policy that describe crew records are included so customers understand what is recorded on a job.

Use of the website and portal is also governed by our terms of service.

2. Information you give us

  • Estimate request. Your name, email address, phone number, the service address, property size and type, the service and add-ons you want, the instructions you give us about what to skip or avoid, your notes, and any photographs you upload. No account is required to request an estimate.
  • Account and properties. Billing and site contacts, the roles you assign to people on your account, property details, entry and parking arrangements, pets, schedules, recurring plans, and your communication preferences.
  • Property access details. Lockbox, garage, and alarm information, where you choose to give it, so a crew can get in. Section 11 covers how those are handled.
  • Signing. The signer’s name, the copy of the document as signed, the time it was signed, and the IP address and browser recorded with the signature. Those details are what makes a signed agreement provable afterward.
  • Payment. Amounts, status, and the reference numbers returned by our payment processor. Card numbers, security codes, and bank credentials are entered on the processor’s own page. We do not receive or store them.
  • Service. Checklists, job notes, before and after photographs, incident photographs, arrival and completion times, and the event record for each job.
  • Messages. The texts and emails we exchange with you, their delivery status, and your consent record.
  • Contact form. Your name, email address, phone number, and whatever you write to us.

3. Information collected automatically

Our servers record the IP address, browser and device type, page requested, and time of request for traffic to this site. We use those records to deliver pages, keep the site available, apply rate limits, and investigate abuse or fraud.

This site carries no advertising cookies and no social media trackers. It sets a small number of cookies that are necessary for the site to work safely, and nothing that follows you to other websites or builds a profile of you.

Necessary cookies

  • Security token. Every page we serve carries a random token, stored as a cookie, that lets our servers tell a request you made apart from one another site made on your behalf. It holds no information about you, expires when you close your browser, and is only sent to this site.
  • Signing session. When you open a document to sign, signing that particular document is authorized by a cookie that lasts as long as the signing session and is readable only by our servers.
  • Site access. While the site is in a pre-launch or maintenance period, a cookie records that you entered the access password, for up to seven days. Once the site is open to the public it is not set at all.

These cannot be turned off and still leave the site usable, because refusing them means we cannot tell your requests apart from a forged one. We do not use cookies for anything else, and none of them are read by anyone but us.

Analytics

We use Plausible Analytics to measure how the site is used in aggregate: which pages are viewed, which sites and campaigns visitors arrive from, and which steps of the estimate and booking process people complete. Plausible does not use cookies, does not build a profile of you, and does not track you across other websites. We do not send it your name, email address, phone number, street address, or the contents of anything you write to us, and we remove the identifiers in transactional links before any measurement is sent. Your own browser keeps a short marker for each measurement already sent, so one action is not counted twice if you reload the page.

What is kept in your browser

Some things are stored by your browser on your own device. They are not sent to us except as part of an ordinary request, and you can clear all of them through your browser’s site data controls.

  • Your sign-in. Held in session storage and discarded when you close the tab or sign out.
  • An estimate you are partway through. The answers you have given so far, including the contact details and property notes on the form, so you can close the tab and pick the same estimate back up. Kept in session storage and cleared when the estimate is submitted.
  • A booking you are partway through. A short-lived token so you can finish reserving and paying for it.
  • A document you are partway through signing. Which boxes you have ticked and the name you have typed, so a reload does not lose them.
  • Your conversation with our assistant, so it does not restart every time you change pages, and a marker noting he has already introduced himself in this tab.
  • A tip you have started sending. The amount and the reference for the payment, kept for up to two days so a reload or a dropped connection does not send it twice or lose it.
  • Analytics markers, as described above.

If you work for TABLEROCK, the staff and owner portals keep more: your assigned jobs, checklists, safety data sheets, and time records are cached on the device so the portal keeps working where there is no signal, and any checklist progress, note, photo, or cash tip you record offline is queued there until it can be sent. The office portal also remembers which business you last had selected. These are cleared when the device’s site data is cleared.

4. Photographs

Photographs you upload with an estimate request, and photographs a crew takes on a job, are stored privately. They have no public link. A photograph opens through a short-lived link issued only after we confirm the person asking is entitled to that specific file.

Upload what shows the condition of the rooms we will clean. Leave out people, documents, screens, mail, and valuables. Photographs of children should not be uploaded at all.

We will not use identifiable photographs of your property or your results in advertising or marketing unless you give separate written permission.

5. Where artificial intelligence is used

Estimate photographs.

This is your choice, and the estimate form asks it directly. AI photo review is on by default because the extra condition detail makes the estimate more accurate, and you can turn it off on the same screen where you add photos. Turning it off does not stop you uploading photographs; it only stops them being sent for that analysis.

When AI photo review is left on, photographs submitted with an estimate request are sent to a third-party artificial intelligence provider for analysis, along with the service you asked for and the notes you wrote. The provider returns a structured description of the property: rooms, condition, clutter, buildup, grease, pet hair, hazards, and a confidence score. We instruct that provider to use what we send only to return that analysis to us.

When you turn it off, the photographs you upload are not sent to that provider. They are stored privately and used the way section 4 describes: our team reads them, and the crew assigned to your clean sees them to prepare. We keep a record of the choice you made on that estimate.

The description is one input among several. Our pricing rules set the price. Low confidence in the analysis, severe or heavy condition, and several other conditions route the request to a person for review before you are given a number.

Photographs taken on a job are used as service records. They are not sent to that provider.

The assistant on this site. The chat assistant is answered by an artificial intelligence provider. What you type goes to that provider, and so does the account information the assistant needs to answer you: your next appointment, its time and service, your recurring plan, an invoice balance, the status of an issue you reported. It can also prepare a change for you to confirm, such as pausing a recurring plan or asking for a call back. Nothing it prepares takes effect until you say yes, and every change is then checked against your account on our own servers rather than on the provider's word.

Text messages to our business line. A text you send us may be answered by that same provider, on the same terms, and with the same account information available to it. Ask for a person and you will get one.

Phone calls to our business line. Calls are answered by an artificial intelligence voice agent supplied by OpenAI. The call audio reaches that provider, and a written transcript of the call is kept in our records. If you leave a voicemail, the recording is kept too. Say that you want a person and the call is handed to one.

We do not use the material you submit to train artificial intelligence models, and no artificial intelligence decides your price, your bill, or whether a change to your account is allowed. Those are decided by our own rules on our own servers.

6. How we use information

  • To price, schedule, dispatch, perform, document, and bill your service.
  • To prepare the agreements you sign and to keep provable copies of them.
  • To send you messages about your quote, your appointment, your account, and your payments.
  • To answer your questions and support your account.
  • To prevent, detect, and investigate fraud, abuse, and misuse of the site.
  • To resolve service issues, claims, disputes, and chargebacks.
  • To meet our legal, tax, insurance, employment, and safety obligations.
  • To improve our services, checklists, and pricing accuracy, using our own operating records.
  • For marketing, where you have given consent to receive it.

7. Service providers

We use outside providers to run parts of the business. Each receives only what its function requires, and each is engaged to act on our instructions rather than for its own purposes.

  • Hosting, database, and file storage for this site, the portal, and the records described above.
  • Payment processing, which receives your card or bank details directly and returns us the amount, the status, and a reference number.
  • Artificial intelligence providers, as described in section 5: one that analyses estimate photographs where you left AI photo review on and that answers the site assistant and our business text line, and OpenAI, which answers calls to our business line.
  • Text message delivery, which receives your phone number and the message text and returns delivery status.
  • Email delivery, which receives your address, the subject, and the message text.
  • Website analytics, which receives the page address and general information about the visit, as described in section 3.
  • Accountants, insurers, and lawyers, where a tax filing, a claim, or a dispute requires it.

8. When we share information

  • People on your account. Anyone you add to your account sees the properties, schedules, agreements, and records their role allows.
  • The crew on your job. Cleaners assigned to an appointment see the address, the scope, your instructions, and the access details needed to do the work. They have no general access to our customer records.
  • Owners and managers. Where an owner, landlord, or property manager arranges the service, they can see the records for the properties they control, including schedules, completion reports, and job photographs.
  • Service providers. As described in section 7.
  • Card issuers and payment networks. When a charge is disputed, we may present the signed agreement, the payment record, the messages, and the job evidence to answer the dispute.
  • Authorities. Where the law requires it, in response to lawful process, or where necessary to protect the safety, rights, or property of a person, our crews, or our business.
  • A business transfer. If the business is merged, acquired, or sold, records may transfer with it. This policy continues to apply until you are given notice of a replacement.

9. What we do not do with your information

We do not sell personal information, and we do not share it for cross-context behavioral advertising or targeted advertising.

We do not rent or trade our customer list, and we do not disclose your property, your schedule, or your access details to anyone outside the arrangements described in section 8.

10. Texts and email

Texts about your quote, your schedule, your deposit, and your service require your consent, and we store the record of that consent. Reply STOP to any text to opt out, or HELP for help. Message and data rates may apply.

We do not send marketing texts. The consent record has a separate field for marketing so that the two can never be confused, and today nothing sets it: every text we send is a service text, and replying STOP stops all of them. If that ever changes we will ask for marketing consent separately, and it will be separately withdrawable. After you opt out of texts we may still email you the things needed to administer your account and your appointments.

We record whether each message was delivered, so that a reminder or a confirmation that failed can be resent by another route.

11. Property access details

Lockbox codes, garage codes, alarm codes, and key locations are stored encrypted, separately from the rest of your property record.

A code is released only to a cleaner assigned to your appointment, and only inside the access window for that appointment. Every release is recorded: who opened it, for which job, at what time. Those records are kept even after a code is retired, because they are the evidence of who had access to your home and when.

A stored code is never displayed again, to you or to us. The portal shows that a code is set and when it was last changed, and lets you replace it or switch off an access method at any time.

12. Crew location and time records

An employee’s location is captured at two moments: check-in at the jobsite and check-out. We record the position, the accuracy the device reported, and the distance from the property. Those records support payroll and confirm that a crew was on site.

Location is not captured continuously, between those two moments, or off shift, and location data is never sold.

13. How we protect information

  • Access is restricted by role and by the account, property, or job a person is attached to. Staff and crews see what their work requires.
  • Traffic between your browser and our servers is encrypted.
  • Photographs, agreements, completion reports, and dispute evidence are not publicly reachable and open only through short-lived authorized links.
  • Access to property access details is recorded, as described in section 11.
  • Payment credentials are handled by our payment processor and never reach our systems.
  • Significant actions on a record are logged, so a change can be traced to an account and a time.

No system is perfectly secure. Keep your sign-in details to yourself, and write to us quickly if you think someone else has used your account.

14. How long we keep information

We keep records for as long as they serve the purpose they were collected for, and then for the period our obligations require. Our schedule is:

  • Two years. Estimate requests and the pricing record behind them.
  • Three years. Photographs and message logs, and longer where they support a signed agreement, a completion report, a claim, or a dispute.
  • Seven years. Accounts, properties, signed agreements, bookings, payments, invoices, receipts, claims, dispute evidence, and payroll and employment records.
  • Thirty to ninety days. Operating records with no customer content: system logs, rate-limit counters, expired keys, and the ledger that keeps a repeated payment notification from being processed twice. These are deleted automatically.
  • Thirty days. Any voicemail you leave is deleted at our phone provider thirty days after you leave it, and a call transcript is deleted turn by turn, each part thirty days after it was recorded, so no part of it outlives thirty days from the moment it was spoken. Both are deleted automatically. What we keep after that is the call record, the summary a person wrote after listening, and what we did about it, which sit with the message logs above. Raw recordings take the shortest period we have because a recording holds your unedited voice, and sometimes other people in the room who never called us at all. Ask us and we will delete a recording or transcript sooner where no claim, dispute, or legal hold depends on it.

Records in the first three categories are reviewed by a person once they pass their date. That review exists because a photograph or a message is sometimes the record that answers a chargeback, an insurance claim, or a tax question, and the date alone does not reveal which one.

Anything covered by a legal hold is preserved until the hold is lifted, whatever the schedule says.

15. Your choices and requests

In the portal you can update your contacts, properties, entry and parking details, pet notes, skip instructions, recurring plans, and communication preferences, and you can view your bookings, agreements, receipts, and completion reports.

For a copy of your information, a correction, or a deletion, email hello@tablerockcleaning.com with “Privacy Request” in the subject line, and tell us what you want and which account or property it concerns. A person handles these requests.

We acknowledge a request within ten business days and answer it within forty-five calendar days. We verify your identity first, usually through the email address or phone number already on your account. An authorized agent may make a request on your behalf with your written authorization.

Some records survive a deletion request: signed agreements, payment and tax records, dispute and claim evidence, payroll records, and anything under a legal hold. Where we keep something, we tell you what and why.

Making a request costs nothing and changes nothing about the price, the schedule, or the quality of your service.

16. State privacy rights

Idaho has no comprehensive consumer privacy statute. If you live in a state that grants privacy rights, such as access, correction, deletion, portability, appeal, or limits on the sale of personal information and on targeted advertising, we handle your request under that law.

We follow the process in section 15 for everyone, wherever you live. If we decline a request, our answer says why, and you may appeal by replying to it. We respond to an appeal within forty-five calendar days.

17. Children

Our services are sold to adults, and the site is meant for adults. We do not knowingly collect personal information from children, and photographs of children should not be uploaded.

If you believe a child’s information has reached us, write to hello@tablerockcleaning.com and we will delete it.

18. Where information is handled

We operate from Boise, Idaho, and information is stored and processed in the United States. If you contact us from outside the United States, your information is handled here.

19. Security incidents

If personal information is exposed, we investigate, contain it, preserve the records of what happened, and notify the people affected and the authorities where the law requires it.

20. Changes to this policy

We may update this policy. The version in effect is the one posted on this page, under the effective date shown at the top. Material changes are posted before they take effect, and account holders are notified by email or in the portal.
